Violation policies are crucial components of an organization's disciplinary framework. These policies are implemented to guide employees' discipline and behaviors, ensuring a safe and suitable working environment.
To effectively implement violation policies using PaidHR, you need to create various violation types that are relevant to your organization.
โ
Here's a step-by-step guide to setting them up:
Log in to your PaidHR admin account.
Navigate to the Disciplinary section in the main menu.
Select "Policies" from the submenu.
Once you've navigated to the Disciplinary section and selected "Violation Types," follow these steps to create a new violation policy:
Click on "Create" to add a new violation policy.
Fill in the required fields:
a) Violation Policy: Enter a clear, concise title for the violation policy. This should be easily understandable and reflective of the policy's purpose. b) Violation Type: Select the appropriate violation type from the dropdown menu. This should correspond to the category of violation you're addressing c) Threshold for System Actions: Answer the question, "Is there a threshold before system actions are triggered?"
If you select Yes, you'll need to specify the violation count. This determines how many times the violation can occur before automatic actions are taken.
If you select No, you don't need to enter a violation count. The system will trigger actions on the first occurrence. d) System Action: Choose the appropriate system action from the dropdown menu. This action will be automatically triggered when the violation occurs (or reaches the specified threshold).
e) Description: While optional, it's recommended to provide a brief description of the policy. This helps other administrators understand the purpose and application of the policy.
After filling in these details, click on Next. On the next screen, you can specify which employees this policy applies to:Use the dropdown button to add or remove employees.
You can select individual employees depending on the scope of the policy.
Review all the information to ensure accuracy.
Click Save to finalize and implement the new violation policy.
By following these steps, you can create comprehensive and clear violation policies in PaidHR. This systematic approach ensures that all necessary details are captured, from the policy description to the specific employees it affects.
