Ending the Review Period & Appraisal Review Commitee (ARC)

End the Review Period

Before the review period is officially closed, the system will display employees who have not yet completed their reviews. You will then have two options:

End Review – Close the review cycle immediately and prevent any further submissions.
Nudge Employees/Reviewers – Send a reminder notification to employees who have not yet completed their reviews, giving them an opportunity to submit before the review period is closed.

After reviewing the list of outstanding reviews and taking the appropriate action, you can proceed with ending the review period.

Once the review period has been closed, no further review submissions or edits can be made, and you can proceed to launch the ARC process.

Appraisal Review Commitee (ARC) Review

Once the review period has ended, follow the steps below to complete your ARC review and finalise employee performance ratings.

Step 1: End the Review Period

Once all reviews have been completed, end the review cycle to lock submissions and prevent any further changes from employees or managers.

Step 2: Launch ARC

Launch the ARC process from the platform.

Once ARC has been launched, designated stakeholders will receive notifications informing them that the calibration process is ready to begin.

Step 3: Access the ARC Dashboard

Open the ARC dashboard to view the review results.

From here, you can:

View all participating departments.
Review performance ratings across the organisation.
Navigate department by department to conduct calibration discussions.

Step 4: Review Department Scores

Select a department to begin reviewing results.

For each employee, you will be able to see:

The employee's self-assessment score.
The manager's assessment score.

This view provides a complete picture of how each employee has been evaluated throughout the review cycle.

Step 5: Identify and Review Outliers

ARC automatically highlights outliers where there is a significant difference between employee and manager ratings.

When an outlier is identified:

Click on the employee's record.
Review the detailed ratings and comments submitted by both the employee and manager.
Assess the reasons behind the score disparity.
Discuss and agree on the most appropriate rating.

Step 6: Adopt Scores

After reviewing the ratings, you can choose to:

Adopt all scores at once.
Adopt scores individually.
Adjust scores where necessary based on calibration discussions.

Step 7: Make Final Adjustments

Where calibration discussions indicate that a rating should be changed, The scribe will update the agreed score.

Step 8: Finalise and End the ARC Process

Once all departments have been reviewed and any required adjustments have been made, finalise and end the ARC process.

Before completing ARC, you will be able to choose when employees should receive access to their final review reports:

Share reports immediately – Employees will receive access to their reports as soon as ARC is completed.
Share reports later – Reports will remain hidden until you choose a future date or manually release them.

Once ARC has been completed, all approved ratings will become the final performance outcomes for the review cycle
