How to Add a Payroll Change

This guide explains how to add payroll changes in PaidHR, either individually or using the bulk upload feature for multiple employees.

PaidHR makes it easy to manage payroll changes by allowing you to:

  • Specify who the change applies to: individual employees, certain pay grades, or specific pay bands.

  • Choose whether the change is for a regular payroll or an off-cycle payroll.


Steps to Adding a Payroll Change Individually

  1. Navigate to Payroll, and click the downward arrow to reveal the options.

  2. Select Changes.

  3. Click on Create Payroll Change at the top-right corner of your screen.

  4. Select Who the Change is For - either:

    • Individual Employee

    • Pay Grades

    • Pay Bands

    • For Individual Employee:

      • Select the specific employee.

      • Check the box to include exited employees if needed.

    • For Pay Grades/Pay Bands:

      • Select the specific pay grade/ pay band.

      • Note: This change will apply to all employees in the selected pay grade/pay band.

  5. Choose the Change Type
    Specify the type of payroll change:

    • Bonus

    • Payable

    • Deduction

    • Payment in lieu of notice

  6. Set the Frequency of the Change
    Indicate whether the change is:

    • One-off or Recurring.
      For recurring changes:

    • Enter the number of months the change will apply.

    • Select the effective date.

    • For indefinite changes, leave the "number of months" field blank.

  7. Enter the Amount
    Decide whether the change is:

    • A specific amount.

    • A percentage of the employee’s gross earnings.

  8. Specify Tax Details

    • Indicate if the payroll change is taxable or not.

    • If taxable:

      • Choose whether it’s a combined taxable change or stand-alone taxable change.

      • Specify if the employee will bear the tax.

  9. Choose the Payroll Type
    Decide if the payroll change applies to:

    • Regular payroll.

    • Off-cycle payroll.

  10. Input the Reason
    Provide the reason for the payroll change. This can also serve as the specific name of the change.

  11. Add Supporting Documents
    Attach any relevant document to support the payroll change, if available.

  12. Submit the Payroll Change
    Click Submit. The payroll change will be sent for review and added to the next payroll upon approval.


Adding Payroll Changes in Bulk

The bulk upload feature allows you to create multiple payroll changes at once, from a minimum of 1 to as many employees as your organization requires, provided the necessary details are correctly filled out.

Steps to Bulk Upload Payroll Changes

  1. Navigate to Payroll, and click the downward arrow to reveal the options.

  2. Select Changes.

  3. Click on Bulk Payroll Change at the top-right corner of your screen.

  4. Download the provided Spreadsheet.

  5. Fill Out the Spreadsheet:

    • Carefully read the guidelines on Sheet 1 for instructions.

    • On Sheet 2, input the required details for each employee.

    • Refer back to Sheet 1 for clarity on the fields if needed.

  6. Once the spreadsheet is filled out, upload it back into PaidHR by clicking Upload Payroll Changes.

  7. Submit the Bulk Changes:

    • Review the uploaded data and submit the changes for approval.
